1. Introduction
Shoreline Medical Administration, LLC ("Shoreline," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, share, and protect personal information when you visit www.shorelinemedicaladmin.com (the "Site"), contact us, book a meeting, submit a claim, or otherwise interact with us. By using the Site, you agree to the practices described in this Privacy Policy.
2. Scope; Protected Health Information (HIPAA)
This Privacy Policy applies to personal information we collect through the Site and in the ordinary course of our business operations. It does not apply to Protected Health Information ("PHI") that we create, receive, maintain, or transmit on behalf of our healthcare provider clients.
Shoreline acts as a business associate under the Health Insurance Portability and Accountability Act of 1996 and its implementing regulations, each as amended ("HIPAA"), when providing medical administration services — including through our secure ATLAS portal — to covered entity clients. Our use and disclosure of PHI is governed by HIPAA and by the Business Associate Agreement ("BAA") we enter into with each client, not by this Privacy Policy. If you are a patient seeking information about how your health information is used or wish to exercise rights over your health records, please contact your healthcare provider directly; Shoreline responds to such requests as directed by, and in coordination with, the applicable provider under our BAA.
3. Information We Collect
Information you provide directly. We collect information you give us when you fill out our contact form, book a meeting, sign up for our mailing list, submit a claim, execute documents electronically, or otherwise communicate with us. This may include your name, employer or practice name, job title, email address, phone number, mailing address, billing information, and the contents of your messages and submissions.
Information collected automatically. When you visit the Site, we and our service providers automatically collect certain information about your device and usage, such as IP address, browser type, operating system, device identifiers, pages viewed, referring URLs, and dates and times of access. This information is collected through cookies and similar technologies (see Section 5).
Information from other sources. We may receive information about you from our clients (for example, when a practice identifies you as an authorized contact), from service providers, and from publicly available professional sources.
4. How We Use Your Information
We use personal information to:
- Provide, operate, and improve the Site and our services;
- Respond to inquiries, schedule meetings, and communicate with you about your account, claims, and our services;
- Process and administer claims submitted through the Site;
- Send newsletters and other marketing communications you have signed up for (you may opt out at any time);
- Analyze Site usage and trends to improve user experience;
- Protect the security and integrity of the Site and our systems, and prevent fraud and misuse;
- Comply with legal obligations and enforce our agreements.
5. Cookies and Similar Technologies
The Site uses cookies and similar technologies to operate core functionality, remember preferences, and understand how visitors use the Site. Our website hosting and analytics providers may set cookies for these purposes. Most browsers let you refuse or delete cookies through browser settings; if you disable cookies, some features of the Site may not function properly.
6. How We Share Information
We do not sell personal information, and we do not share personal information with third parties for their own marketing purposes. We may share personal information:
- With service providers. We use third-party vendors that perform services on our behalf, such as website hosting, scheduling, email delivery, e-signature, payment processing, and analytics. These providers are permitted to use personal information only to perform services for us.
- With our clients. Where you interact with us on behalf of a practice or provider we serve, we may share relevant information with that client in connection with the services.
- For legal reasons. We may disclose information if required to do so by law or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Shoreline, our clients, or others.
- In business transfers. If Shoreline is involved in a merger, acquisition, financing, or sale of all or part of its business, personal information may be transferred as part of that transaction, subject to reasonable confidentiality protections.
- With your consent. We may share information for other purposes with your consent or at your direction.
7. Data Security
We implement administrative and technical safeguards designed to protect personal information, including access controls, encryption of data in transit, and secure infrastructure for our systems. PHI handled on behalf of our clients is maintained in accordance with the HIPAA Security Rule and our BAAs. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you have reason to believe your interaction with us is no longer secure, please contact us immediately at info@shorelinemedicaladmin.com.
8. Data Retention
We retain personal information for as long as needed to fulfill the purposes described in this Privacy Policy, comply with our legal and contractual obligations (including record retention requirements applicable to healthcare claims administration), resolve disputes, and enforce our agreements. When information is no longer needed, we securely delete or de-identify it.
9. Your Privacy Rights and Choices
Depending on where you live, you may have rights regarding your personal information, such as the right to access, correct, delete, or receive a copy of your data, and the right to opt out of certain processing. To exercise any rights available to you, or for any privacy inquiry, contact us at info@shorelinemedicaladmin.com. We will verify your request and respond as required by applicable law, and we will not discriminate against you for exercising your rights.

- Text messages. Reply STOP to opt out of text messages at any time.
- Cookies. Manage cookies through your browser settings as described in Section 5.
Note that rights over health records held on behalf of your healthcare provider are governed by HIPAA and should be directed to your provider, as described in Section 2.
10. Children’s Privacy
The Site is intended for business and professional audiences and is not directed to children under 18. We do not knowingly collect personal information from children under 13 through the Site. If you believe a child has provided us personal information through the Site, please contact us and we will delete it.
11. Do Not Track
Some browsers offer a "Do Not Track" signal. Because there is no common industry standard for responding to these signals, the Site does not currently respond to them.
12. Third-Party Websites
The Site may link to third-party websites. This Privacy Policy does not apply to those websites, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any website you visit.
13. Changes to This Privacy Policy
We may update this Privacy Policy periodically. We will post the revised policy on this page with an updated effective date, and we will provide additional notice of material changes where required by law. Your continued use of the Site after changes become effective constitutes acceptance of the revised policy.
